Terms & Conditions

ONE-TO-ONE TERMS & CONDITIONS

1. One-to-one sessions are non-refundable.

2. Yogadmin has a 24-hour cancellation policy for all one-to-one sessions. Sessions can be rescheduled if Yogadmin is notified more than 24 hours prior to the session commencing. Cancellations within 24 hours cannot be rescheduled unless there are exceptional circumstances.

3. Yogadmin will keep all shared information confidential.

4. Yogadmin will not accept any liability nor financial or business responsibility for any work produced by Yogadmin on behalf of the client, nor any advice provided to the client. Yogadmin aims to provide professional business support, but does not accept responsibility for the success or failure of clients’ businesses.

PACKAGE TERMS & CONDITIONS

1. Yogadmin packages are non-refundable.

2. Yogadmin packages are valid for 3 months from date of initiation. Unused time cannot be rolled over or extended.

3. Yogadmin will do the utmost to meet client deadlines, but may not be able to accommodate them if tasks are issued with fewer than 5 working days’ notice. Please provide as much notice as possible.

4.    Yogadmin reserves the right to engage with additional contractors or associates when working with the Client to provide the services requested. Associates are bound by confidentiality terms with Yogadmin.

a.    Unless otherwise advised, these costs are included in the rate agreed with the Client.
b.    The Client may not engage an associate of Yogadmin directly to work with them outside of this agreement.

5. All work is tracked using time tracking software and rounded up to the nearest 5 minutes. Time tracking reports are reviewed on a weekly basis and are available on request.

6. All communication with the client (emails, Whatsapp, phone/video calls etc.) will be taken from the package hours. 
7. Travel time to meetings and events outside of W5, W13 and W7 postcode areas will be charged at either £20/hour or taken from your allocated hours. Travel expenses and mileage costs (if applicable) will be charged in full to the client. 

8. Yogadmin will notify the client when they are nearing the end of their package time.

9. Copyright ownership for any deliverables will transfer to the Client once they have been completed and full payment has been made.

10. Yogadmin will keep all shared information confidential.

Yogadmin aims to provide professional business support, but does not accept responsibility for the success or failure of clients’ businesses.

MONTHLY MEMBERSHIP TERMS & CONDITIONS

1.    Yogadmin will do the utmost to meet Client deadlines, but may not be able to accommodate them if tasks are issued with fewer than 5 working days’ notice. Please provide as much notice as possible.
2.    Yogadmin reserves the right to engage with additional contractors or associates when working with the Client to provide the services requested. Associates are bound by confidentiality terms with Yogadmin.

a.    Unless otherwise advised, these costs are included in the rate agreed with the Client.
b.    The Client may not engage an associate of Yogadmin directly to work with them outside of this agreement.

6.    Travel time to meetings and events outside of W5, W13 and W7 postcode areas will be charged at either £20/hour or taken from your allocated hours. Travel expenses and mileage costs (if applicable) will be charged in full to the Client. 
7.     Yogadmin will notify the Client when they are nearing the end of their monthly allocated time. If extra time is required to complete the issued task or additional tasks the Client can:

a.    Be invoiced at the end of the month for the extra time used at a discounted rate.
b.    Upgrade to a larger hourly package for the remainder of this agreement. 

8.    Yogadmin will invoice the Client at the end of each calendar month. The payment terms are 14 days from the invoice date. The payment terms are 14 days from the invoice date. We will exercise our statutory right to claim interest (at 8% over the Bank of England base rate) and compensation for debt recovery costs under the Late Payment legislation if we are not paid according to our agreed contractual terms.
9.    In the rare circumstance that Yogadmin is unable to fulfil the minimum monthly hours, e.g. due to sickness or holiday, then the month will be invoiced on a pro-rata basis. 
10.    After the minimum 3 month period has elapsed the agreement:

a.    will continue on a rolling monthly basis. Yogadmin will review all pricing packages twice annually and the Client will be given 30 days’ notice of any applicable changes. 
b.    can be cancelled by the Client by giving 30 days’ advance notice in writing. Any active unused time must be used by the end of the notice period otherwise it will be forfeited.

11.    Yogadmin reserves the right to cancel this agreement at any time by giving 30 days’ notice in writing.

ANNUAL MEMBERSHIP TERMS & CONDITIONS

1.    Yogadmin will do the utmost to meet client deadlines  but may not be able to accommodate them if tasks are issued with fewer than 5 working days’ notice. Please provide as much notice as possible.

2.    Yogadmin reserves the right to engage with additional contractors or associates when working with the Client to provide the services requested. Associates are bound by confidentiality terms with Yogadmin.

10.    The client can take one consecutive 30 day break within the 12 month period. If the break falls mid-month then Yogadmin will invoice on a pro-rata basis for the month(s) involved.
11.    Should the client wish to cancel before the 12 month period has elapsed then a cancellation fee of 50% of the remaining months will be charged. Cancellations should be given with 30 days’ advance notice in writing. Any active unused time must be used by the end of the notice period otherwise it will be forfeited.
12.    Yogadmin reserves the right to cancel this agreement by giving 30 days’ notice in writing.
13.    The client will be notified one calendar month before this agreement expires to discuss renewal. 
14.    Copyright ownership for any deliverables will transfer to the client once they have been completed and full payment has been made.
15.    Yogadmin will keep all shared information confidential. 
16.    Yogadmin will not accept any liability nor financial or business responsibility for any work produced by Yogadmin on behalf of the client, nor any advice provided to the client. Yogadmin aims to provide professional business support but does not accept responsibility for the success or failure of clients’ businesses.

BOOKKEEPING TERMS & CONDITIONS

1. As part of this agreement Yogadmin:

a. Will collate and record the Client’s income and expenses in a spreadsheet or accounting software on a monthly or quarterly basis. 

b. Will save all records in secure shared cloud storage or accounting software.

c. Will support the client in the submission of their Self Assessment tax return via video call.

2. As part of this agreement the client: 

a. Will provide Yogadmin with invoices and receipts for income and expenses on a regular basis.

b. Will provide Yogadmin access to accounts where receipts/statements/invoices need to be downloaded as required.

c. Will provide Yogadmin with any other information required for Self Assessment submission.

d. Acknowledges that Yogadmin is not an accountant and therefore you may be advised to seek further professional advice.

3. Yogadmin will do the utmost to meet the 31st January Self Assessment deadline, but may not be able to accommodate it should the information required from the Client not be provided in good time. It is advised to make your Self Assessment submission between May – November to avoid peak HMRC waiting times and unnecessary pressure on both parties. 

4. Should the client prefer to meet in person to make a submission outside of W5, W13 and W7 postcode areas, then travel time will be charged at £20/hour. Travel expenses and mileage costs (if applicable) will also be charged in full to the client.

5. Should the client require work in addition to monthly bookkeeping as set out in point 1 then they can be invoiced at the end of the calendar month for the extra time used at a discounted rate of £30 per hour.

6. Yogadmin will invoice the client at the end of each calendar month. The payment terms are 14 days from the invoice date.

7. Should the client wish to cancel before the 12 month period has elapsed then a cancellation fee of 50% of the remaining months will be charged. Cancellations should be given with one month’s advance notice in writing. 

8. Yogadmin reserves the right to cancel this agreement by giving 14 working days’ notice in writing.

9. The client will be notified one calendar month before this agreement expires to discuss renewal. 

10. Yogadmin will keep all shared information confidential. 

11. Yogadmin will not accept any liability nor financial or business responsibility for any self assessment submissions or any HMRC enquiries relating to them. Yogadmin aims to provide professional business support, but does not accept responsibility for the success or failure of clients’ businesses.
